Position Summary

The High School Administrative Assistant plays a critical role in the daily operation of the main office and serves as a key point of contact for students, staff, parents, and the community. This highly public-facing position requires strong communication, organizational, and technical skills. The ideal candidate will be dependable, resourceful, and capable of working independently and as part of a team.

Terms of Employment

Work Days: 190 days total — all student attendance days (176), all teacher in-service days (4), plus one week (5 days) prior to the start of school and one week (5 days) after the school year ends. This position begins at $20/hour for the 2025-2026 school year.

Qualifications

  • Education: High school diploma required; additional education or certifications (STS or Substitute License) preferred

  • Experience: Relevant clerical or administrative experience preferred

  • Health: Must be capable of lifting and moving files as needed. This position also requires walking throughout the building to distribute mail, notes to students, etc.

  • Technical Skills: Proficient with Google Workspace, TeacherEase, and Apptegy (or other communication/record keeping platforms); Candidates with experience using TeacherEase attendance and discipline modules highly preferred

  • Other: Strong interpersonal skills, high attention to detail, professionalism, and ability to handle confidential information



Primary Responsibilities


    Front Office & Communication

  • Greet and assist students, staff, families, and community members

  • Answer and direct phone calls to appropriate personnel

  • Maintain a positive, productive relationship with all stakeholders

  • Promote school events and activities via social media, website, emails, and print materials

  • Make daily school-wide announcements as needed on the intercom system

  • Set and maintain bell system & bell schedules for school days

     Attendance Officer Duties

  • Record attendance for MPHS, LTEC, Abe Lincoln Academy and CEO students

  • Update regular student attendance and follow up on unverified absences

  • Communicate with parents and students regarding attendance policies and procedures

  • Make parent calls and manage student sign-ins/outs

  • Collect and file excuse notes, calculate daily attendance, and run reports for  administrators and the truancy officer

     Student Discipline Support

  • Ensure confidentiality of student records

  • Manage and transmit discipline referrals to the Principal

     Lunch & Food Orders

  • Enter monthly menus (TeacherEase, Apptegy)

  • Record daily student food orders as needed

     Registration & Enrollment

  • Collaborate with the other Administrative Assistant on all aspects of student registration

  • Compile, distribute, collect, and organize student registration packets

  • Enter and update student records

  • Print and organize student schedules and record forms

     Student Records

  • Maintain confidentiality and organization of student records

  • Ensure proper annual rotation and recordkeeping

     Technology & Platforms

  •  Use Google applications (Docs, Sheets, Slides, Calendar) efficiently and effectively

  •  Create posts, live feeds, and news articles on the school website (Apptegy)

     Transportation & Field Trips

  • Send transportation rosters for field trips to the Transportation Director

  • Maintain student transportation routes in TeacherEase

     Risk Management Responsibilities

  • Identify, analyze, and report risks

  • Select and monitor techniques to minimize identified risks

  • Modify techniques as needed to ensure student and staff safety

     General Duties

  •  Fill in for the other Administrative Assistant as needed

  •  Complete other duties as assigned by the Principal or Superintendent



Application Process

Step 1 – Schedule a Skills-Based Assessment Appointment

Interested applicants must sign up for a Skills-Based Assessment Appointment online via this link. The candidate will come to an in-person appointment. During this appointment, candidates must bring:

  1. A printed cover letter

  2. A printed resume with three listed workplace references (who can attest to clerical skills)

  4. During the appointment, candidates will complete four computer-based tasks using a district computer. There will be no interview during this appointment. An inability to complete the skills-based assessment will disqualify the applicant from consideration for an interview. Skills-Based Assessment Tasks

Task 1 – Timed Typing Test

Complete a 5-minute typing test.

Task 2 – Design a Flyer for Social Media Posting
Create a flyer or graphic promoting an event (specifics will be given during the
appointment) that could be posted on the school’s social media account.

Task 3 – Create a Weekly Calendar for the Principal
Using Google Calendar and a list of activities provided, create a weekly schedule on a
specific Google Calendar.

Task 4 – Attendance Policy Email
Based on the attendance policy provided at the appointment, write a professional email
to a parent about a student who has 7 parent call-ins without any medical documentation
from a medical professional. Address future absence status, potential upcoming
consequences, and future documentation expectations in the email.

Step 2 – Candidate Interviews

The results from Step 1 will be reviewed and scored to identify the candidates who move forward in the selection process. Those selected will be contacted by phone to schedule interviews, which will be held the following week. The interview panel will include the Building Principal and the current Administrative Assistant for Bookkeeping. Candidates not selected for interviews will be notified via email.

Step 3 – Final Selection

Following the interviews, a final candidate will be selected and recommended for hire to the Board of Education. The selected candidate will be contacted by phone, while those not selected will receive notification via email.
